HSQE Document Controller

The post holder is responsible for providing accurate and detailed documentation within the Integrated Management System, completing O&M Manuals, supporting HSQE, Sales and Contracts Departments, Supporting NRSWA Road Opening Permits and other administrative duties.

Location

Job Responsibilities
• Updating and maintaining the Quality, Health & Safety and Environmental documents under revision control and in accordance with ISO9001, ISO14001 and OHAS18001
• Coordinating with the different departments and ensuring that documents are kept in the right location and are accessible under document control.
• This role often involves working to deadlines and ensuring that all departments within the organisation are following the same procedures with regards to documents including standards.
• Scheduling and conducting internal audits with HSQE Manager
• Scheduling and updating training matrix
• Scheduling and reviewing internal risk assessments with HSQEManager
• Creating O&M Manuals
• Updating and modifying existing O&M Manuals
• Liaising with clients and other stakeholders in the preparation of O&M Manuals.
• Leading the continued improvement regards O&M Manual preparation, presentation, and automation.
• To assist the HSQE Manager on all other types of documents in terms of updating and creating new procedures/processes.
• Input, monitor and maintain data within various spreadsheets ensuring a high degree of accuracy and attention to detail.
• Maintain the Accident and Near Miss Register
• Reviewing, updating, and maintaining Risk Assessments, COSHH, Method Statements and the likes with internal and external stakeholders.
• General administration and office duties including word processing, photocopying, scanning, and filing.
• Checking documents before they are filed or submitted for approval internally and externally.
• Attention to detail and high level of literacy
• Raising Non conformances (internal and external) on MRP.
• Updating KPI`s, root cause analysis, remedial and preventative actions
• Liaise with internal and external stakeholders.
• Follow the NRSWA administrative procedures.
• Liaise with internal and external stakeholders.
• Follow high standards of professionalism and progress reporting.
• Maintain high levels of organization skills such as to avoid penalties being issued against the company.
• Comply with the company’s quality and administrative policies and procedures as requested
• Comply with the company’s H&S, Environmental policies and procedures
• Perform other ad-hoc duties or provide cover for colleagues as directed by line manager.
• Previous document control experience within an organisation
• Basic analytical experience
• Data organization and storage knowledge
• Keen eye for detail and presentation
• Previous knowledge of ISO9001, ISO14001 and OHSAS18001 essential
• Excellent organizational, administration and communication skills are essential
• Ability to prioritise and meet deadlines with a methodical approach to work
• Being flexible, proactive and reliable
• Ensure accessibility, traceability, and accuracy of documents.

• Excellent behavioural skills and professional attitude

Qualifications and Training
Mandatory
• A-Level/GCSE English and Math’s
• Formal or on the job experience of ISO9001/14001 and OHAS18001 standards – minimum 2 years
• Microsoft Office including Word; Excel; PowerPoint, Outlook, Edge
• MS Excel – Advanced knowledge Required
• HNC/ONC or equivalent

Preferred
• Any Technical Author experience
