Role Overview

The Production Office Manager, based at Trueform’s Hayes Depot in Middlesex, is responsible for overseeing sheet metal production, fabrication engineering, and supply chain management, including subcontractor coordination. The post holder ensures smooth, efficient production operations while maintaining high standards in health and safety, quality, and performance.

This role involves monitoring production capacity, troubleshooting operational issues, managing staff performance, and ensuring workflows meet delivery targets. The manager captures and analyses machine and staff resources, creates detailed production schedules, and maximises in-house resource utilisation. They track job progress, prepare performance reports, monitor costs, and recommend improvements to enhance efficiency.

Additionally, the Production Office Manager creates and releases works orders, schedules manufacturing tasks, coordinates project workflows, and maintains accurate records. They manage stock levels, subcontract orders, and supplier relationships to ensure timely delivery of materials and components. The role also includes covering production office activities during absences, supporting HR processes, and fostering collaboration across teams.

This position requires a proactive, organised, and detail-oriented individual capable of balancing operational demands with strategic planning to ensure the production department operates efficiently and delivers high-quality outcomes.

Responsibilities & Duties

Production
• Highlight production capacity issues and pinch points when they arise, aiming for minimum disruption
• Maximise production efficiency via our MRP system to achieve targets set via senior management.
• Troubleshoot problems that occur during production, including staff shortages and machinery malfunctions
• Manage employee performance issues as and when they arise in line with company guidelines and HR processes
• Ensure high levels in health and safety, quality and performance within the production department are maintained
• Monitor stock levels and delivery dates of brought out parts to avoid pinch points within production
• Monitor and report non-conformance issues within the production department
• Support in consolidating jobs ready for next process
• Collaborate with the dispatch manager for delivery and receipt of parts
• Assist in raising orders for subcontract goods to be sent out
• Assist in sourcing new subcontract suppliers and supply chains
• Provide cover within the production office during holiday periods placing orders for consumables and finishing processes

Planning
• Capture and analyse machine and staff resources to enable detailed production delivery plans to be created, whilst highlighting any issues and proposing the ways to mitigate delivery risks, whilst maximising the utilisation of in-house production resources
• Create and maintain and communicate MRP production capacity plans and machine loading schedules in order to assist the production department plan and achieve delivery requirements
Reporting and Monitoring
• Monitor status of jobs and processes to ensure on time completion, within production budgets.
• Prepare and submit status and performance reports.
• Communicate the current status and completion plans within the department and across the business.
• Monitor project’s progress to ensure it is following the schedule.
• Monitor production and raw material costs.
• Collect and assesses data about the production and team’s performance.
• Prepare management reports on production processes with suggestions on ways to improve efficiency

Workloads
• Create and release Works Orders on the MRP system.
• Schedule all manufacturing tasks and associated timelines,
• Assist production department to coordinate production workflow.
• Organise project paperwork, including purchase orders, and maintains records

Qualifications & Training
• UK Valid Driving license
• Knowledge in the use of MRP systems would be advantageous
• Microsoft Office including Word; Excel; PowerPoint
• Excellent Organisation, administration and communication skills
• Excellent Time Management
• Degree, HNC or equivalent in Mechanical, Industrial, Production Engineering,
• Construction or a similar discipline would be advantageous but not essential.
• Forklift license would be advantageous although refresher training can be given if required
• Knowledge of fabricated / sheet metal component manufacturing is essential
